General and partnership enquiries
Enquiries and related correspondence are normally retained for up to 24 months after the last substantive interaction, then deleted or anonymised unless an active matter, dispute or documented obligation requires longer retention.
Membership and event records
Unsuccessful or withdrawn membership applications are normally retained for up to 12 months after closure. Active member records are retained during membership and, where needed for governance or financial accountability, for up to seven years afterwards. Event registrations and consent records are normally retained for up to 24 months after the event.
Security, legal holds and deletion
Security logs are retained only as long as reasonably necessary to investigate misuse. A complaint, audit, litigation hold, statutory duty or financial record requirement may extend a period. When retention ends, records are securely deleted or irreversibly anonymised.
Review and individual requests
PERKESA reviews retention practices at least annually. Individuals may ask what is held and request correction or deletion through the Secretariat. Each request is recorded, identity may be verified, and any refusal or extension must be documented.
